A useful handover file connects every outdoor furniture model to its approved configuration, care documents, unresolved questions and service history. Build it before delivery so purchasing, operations and maintenance teams work from the same record.
Define what the file must answer
The file should let a new team member identify an item, find the current care information, see what changed and know who must review a fault. It should not rely on a product nickname or one photograph in a messaging thread.
Keep three questions separate: what the product is, what guidance applies to it and what commercial support is currently confirmed. A component that appears replaceable is not automatically available, compatible or covered by warranty.

Common questions
Is a spreadsheet enough for the handover?
It can be the index, but keep controlled documents, photographs and decision evidence in linked folders with stable names and access permissions.
Does a spare-parts list prove future availability?
No. It records an enquiry or a confirmed scope at a point in time. Availability and commercial terms should be reconfirmed for each request.
Can care instructions be shared across similar models?
